Invoicing tips by trade
The advice below is what actually changes the outcome in each trade. Pick your trade above to start the invoice with its typical line items.
Plumbing
A plumbing invoice needs to survive scrutiny: homeowners compare it against the quote, and insurance companies read it line by line. The template below separates labor, parts, and call-out fees so nothing gets disputed.
- Itemize parts with quantities — bundled 'materials' lines trigger disputes.
- State your warranty on workmanship right on the invoice; it reduces callbacks-as-complaints.
- Photograph the completed work and reference it — 'before/after photos available on request.'
HVAC
HVAC invoices often follow a diagnostic visit, so the connection between the diagnosis, the recommendation, and the charge needs to be obvious. This template keeps diagnostic fees, repairs, and refrigerant charges clearly separated.
- Note the system make/model and serial on every invoice — it builds the service history that wins maintenance contracts.
- If you credited the diagnostic fee against the repair, show the credit as its own line.
- Put a recommended next service note at the bottom.
Electrical
Electrical work is permit-and-code territory, and your invoice is part of the paper trail. This template gives inspection references and permit costs their own lines, which is exactly what buyers, sellers and insurers look for.
- Reference the permit number on the invoice — it makes the document useful in a home sale.
- Separate code-required work from optional upgrades so the customer sees what was mandatory.
- Include your license number in the header if you hold one.
Landscaping
Landscaping bills range from one-off projects to weekly maintenance, and mixing them on one invoice confuses customers. This template handles both: project lines with materials, and recurring service lines with visit dates.
- For recurring work, list visit dates — 'May service' invoices get questioned, dated visits don't.
- Bill materials with supplier names for big-ticket items; transparency speeds payment.
- Offer a small autopay discount and say so on the invoice.
Cleaning
Cleaning invoices are high-frequency and low-value, so the win is making them effortless to pay and impossible to dispute. This template keeps service type, property, and date front and center.
- One property per invoice for landlords with multiple units — their bookkeeper will thank you.
- Note the team lead's name; accountability reads as professionalism.
- Flat rates beat hourly on invoices — customers know what to expect and pay faster.
Dental clinic
Dental billing lives between patients and insurers, and the patient-facing invoice needs to be readable by humans. This template pairs procedure descriptions with codes so patients understand what they're paying for.
- Show the insurance estimate and the patient's share as separate lines.
- Plain-English descriptions next to codes reduce confusion and disputes.
- Offer care-plan pricing for uninsured patients and reference it on the invoice.
Salon & beauty
Salon receipts are marketing documents: they're what clients photograph to remember what they had done. This template lists services and products beautifully and makes rebooking obvious.
- Name the stylist on every line — it builds personal loyalty and fair commission records.
- List the products used; retail conversion starts with 'what did you use on me?'
- Print the next recommended appointment window at the bottom — rebooking prompts work.
Roofing
A roofing invoice often ends up in front of an insurance adjuster, not just a homeowner. Itemize the work the way a claim reads — area, materials, labor, disposal — and it gets paid without a phone call.
- Separate tear-off, materials and labor. A single lump sum is the line an adjuster queries.
- State the roof area in squares as well as the price — it is the unit the trade and insurers both use.
- Note the warranty on materials and on workmanship. They are different lengths and homeowners assume they are not.
General contracting
A remodel invoice is read next to a contract and a change order. Tie every line back to the agreed scope, show changes separately, and the conversation stays about the work rather than the paperwork.
- Invoice by phase against the schedule, not in one lump at the end. Both sides sleep better.
- Put change orders on their own lines with their own dates. Buried changes are how remodels end in argument.
- Pass permit and inspection fees through at cost and say so — clients notice, and it buys trust for the rest.
Auto repair
An auto repair invoice is where trust is won or lost. Show the diagnosis, the parts and the labor separately, and the customer stops wondering what they just paid for.
- Separate diagnosis, parts and labor. A single figure is what makes people feel overcharged even when they were not.
- Say whether parts are OEM or aftermarket, and price them differently. Customers who are not told assume the cheaper one.
- List anything you found and did NOT do, with a note on urgency. It is the single most trust-building line on a garage invoice.
Pest control
A pest control invoice frequently has to satisfy someone other than the person paying — a landlord, a letting agent, or an environmental health inspector. Written properly it doubles as the compliance record.
- Name the treatment and the active product used. Landlords and inspectors ask, and "pest treatment" answers nothing.
- State which follow-up visits are included in the price. Ambiguity here is the most common billing dispute in the trade.
- Record the safety guidance you gave — pets, children, re-entry times. It protects the customer and it protects you.
Locksmith
A locksmith invoice is written for someone who was recently in a small crisis and is now checking they were treated fairly. Show the call-out, the work and the parts separately and that check comes out clean.
- Separate the call-out fee from the work. A single figure after an emergency is what makes people feel taken advantage of.
- Say whether entry was non-destructive. It is the difference between a good job and a door that now needs replacing.
- Note the security rating of any lock fitted. Insurers ask, and the customer will not know to.
Garage doors
A garage door invoice should make clear which part failed and which parts were left alone. Doors get sold when a spring was the only problem, and an itemized invoice is how an honest company proves it is not doing that.
- List what you checked and did NOT replace. It is the strongest trust line available in this trade.
- Record the spring cycle rating you fitted. It explains the price difference and sets the next replacement expectation.
- Note that the safety reverse was tested and passed; it is a liability record.
Tree service
A tree service invoice often accompanies an insurance claim or a neighbour dispute, so it needs to record what was removed, from where, and in what condition it was found.
- Describe the tree and its condition, not just "tree removal". Insurers and neighbours both ask.
- State whether debris removal and stump grinding are included. They are the two things customers assume and get surprised by.
- Note access constraints where they affected the price. Sectional felling over a fence is not the same job as a clear drop.
Questions about invoices
Is this invoice template really free?
Yes. Fill it in on the page and print or save it as a PDF. There is no signup, no watermark and no limit on how many invoices you make.
Can I save the invoice as a PDF?
Yes. Choose Print, then “Save as PDF” as the destination. The page is styled so the printed copy carries only the invoice, not the website around it.
Does it calculate tax and totals?
Yes. Line totals, the subtotal, the tax you enter and the amount due are worked out as you type.
What should a service invoice include?
Your business name and contact details, the customer, an invoice number and date, itemized labor and parts with quantities, the tax, the total due, and how and by when to pay. The form above has fields for most of these; put contact details and payment terms in the notes box.
