Receipt tips by trade
The advice below is what actually changes the outcome in each trade. Pick your trade above to start the receipt with its typical line items.
Plumbing
A plumbing receipt does three jobs: proves payment, documents the warranty, and — if you let it — asks for the review while the relief of fixed pipes is still fresh. This template does all three.
- Print the warranty terms on the receipt itself — customers keep receipts, not brochures.
- Note payment method and last-4 for card payments; it kills 'did I pay?' calls.
- Add one line: 'Reviews help our small business — [your Google link].' Timed at payment, it works.
HVAC
HVAC receipts become service records: next season, 'what did they do last time?' is answered by this document. This template records equipment, work done, and readings so the receipt earns its file-drawer space.
- Record model/serial and key readings on the receipt — it's the start of a maintenance contract.
- Note the recommended next service date; receipts drive rebookings when they say when.
- For warranty repairs, mark $0 lines as 'covered under warranty' — visible generosity earns reviews.
Electrical
Electrical receipts get pulled out during home sales and insurance claims years later. This template records what was done, to what code, and by which license — the details that make it worth keeping.
- Always include your license number — receipts without it are useless for resale documentation.
- Reference the permit/inspection where applicable; buyers' inspectors ask.
- Photograph the finished panel and offer it by email 'for your records' — memorable service, review-worthy.
Landscaping
For recurring landscape clients the receipt is the monthly touchpoint — often the only document they see from you. This template makes it worth reading: what was done, what's coming, and the review ask in season.
- List visit dates on every recurring receipt — it quietly proves the value of the retainer.
- Preview next month's work in one line; anticipation reduces cancellations.
- Ask for the review after the yard's best-looking month, not the muddy one.
Cleaning
Cleaning receipts should build the habit: same team, same quality, this is what you got. This template names the crew and the checklist so the receipt reinforces reliability — your real product.
- Name the team on the receipt; continuity is why clients stay.
- Attach or reference the completed checklist — it pre-empts 'did they do X?'
- For move-out cleans, state 'deposit-back guarantee honored' — renters share that receipt with landlords.
Dental clinic
Dental receipts feed FSA/HSA claims and tax files, so precision is kindness. This template pairs plain-English service names with codes, and lists the insurance portion and the patient portion as separate lines.
- Mark HSA/FSA-eligible payments clearly — patients need it at claim time.
- Include year-to-date patient payments where your software allows; tax season gratitude is real.
- Add a 'next hygiene visit due' line, so the patient knows when to book again.
Salon & beauty
A salon receipt is a formula card in disguise: what was done, by whom, with which products. This template records it beautifully — and makes rebooking and product repurchase the natural next step.
- Record the formula/products — 'same as last time' service builds unshakeable loyalty.
- Print the recommended rebook window ('6–8 weeks') with the stylist's name.
- List retail items bought separately from services — clients track their own product spend.
Roofing
A roofing receipt is a warranty document and, often, a claim record. It needs to survive being filed for fifteen years and still make sense to whoever reads it next.
- Record both warranties — manufacturer on materials, yours on workmanship — with their end dates.
- Include the roof area and material spec. A future buyer's inspector will ask, and the homeowner will not remember.
- If the work went through insurance, note the claim number. It saves the homeowner a search years later.
General contracting
A remodel receipt is what a homeowner reaches for when they sell the house. Make it show what was done, to what standard, and that it passed inspection.
- Note that permits were closed and inspections passed. It is the single most valuable line at resale.
- Record the finish materials actually used, not the allowance. The homeowner will not remember which tile they chose.
- State the warranty period and what it covers. Vague warranties get invoked for things you never agreed to.
Auto repair
A service receipt is a car's history. Written properly it raises the resale value of the vehicle and brings the customer back to the shop that keeps the record.
- Record the mileage. Without it the receipt is worthless as service history, which is most of its value to the owner.
- Note the exact oil grade and part numbers used. The next mechanic — possibly you — will want them.
- Print the next service interval in both miles and months. It is a reminder that does not feel like marketing.
Pest control
A pest control receipt is often filed for a tenancy, a sale or an inspection. Make it stand on its own months later, to someone who was not there.
- Record what you found, including finding nothing. A clean inspection is exactly the document a house sale needs.
- Note the products used and any re-entry period. It is the first thing a landlord is asked by a tenant.
- Print the next scheduled visit. In a trade built on recurring contracts, it is the most useful line on the page.
Locksmith
A locksmith receipt frequently ends up with an insurer or a landlord after a break-in or a lost key, so it needs to say what was fitted and to what standard.
- Record the number of keys handed over. It is the first question asked after a tenancy ends.
- Note the standard or rating of hardware fitted, so the customer has a record of it.
- State that entry was non-destructive where it was. It is the proof the job was done properly.
Garage doors
A garage door receipt is a maintenance record for a system with parts that wear on a schedule. Written well it tells the owner — and you — when the next visit is due.
- Record the cycle rating and the date. Between them they predict the next failure, which is a service call you have already earned.
- Note the safety reverse test result; it is a liability record.
- List anything advised but declined, so nobody is surprised when it fails later.
Tree service
A tree service receipt matters most when a neighbour, an insurer or a future buyer asks what happened to the tree. Record the work and the condition it was in.
- Record why the tree came down, especially if it was diseased or unsafe. It answers the question a neighbour will eventually ask.
- Confirm the stump depth and that debris left the site. These are the two most disputed lines in tree work.
- Note any protected-tree consent that was obtained. Removing one without it is an expensive mistake to have no record of.
Questions about receipts
Is this receipt template free?
Yes. Fill it in on the page and print or save as a PDF. No signup, no watermark, no limit.
What is the difference between a receipt and an invoice?
An invoice asks for payment; a receipt confirms payment was made. Customers need the receipt for their own records, warranties and tax.
What has to be on a receipt?
Your business name and contact details, the date paid, what the payment was for, the amount, the payment method, and a receipt number so it can be found again.
Do I have to give a receipt?
Rules vary by state and by payment method, so check the rules where you work. A receipt also gives the customer a record of what they paid and when.
